How Tech Can Make Things Easier At Work
Yesterday's (private) list complaining about things at work makes me consider being positive and productive, and coming up with a list of how to use tech to improve things at work. BTW, we're a non-profit operating group homes for adults with developmental disabilities.
1. Bar Code / QR Codes for Client Med Deliveries
With a hand scanner that goes into client electronic client record. Eliminate tracking and entry errors.
2. DocuWare - Paperless filing
Expand use from just payables to other paperwork - minimal file folders, the program search will find documents based on key words and numbers. Awaiting quote on a part of this conversion - client service plan and Medicaid billing documents. The rest (hopefully) comes later.
3. Get Away From CareLogic
We use it for client records and Medicaid billing. We are a "sub-user" under another (larger) agency which means we have to accept their configurations and processes. Find something we can customize, is easier to use (save time in training and use), and has more features (like #1).
4. Outlook Autoresponder
As suggested by Tim Ferriss, limit e-mail use to two times per day. I am bad about chasing e-mails. Auto responder to politely say "I'll get back to you on my own time..."
5. Calendar
Either sharing Outlook or an overall app so we know who is where, and what is going on. In or out of office, meetings, client appointments, etc. Also for planning meetings...
6. SnapMobile - Phones
Desk phone functions on a cel phone. Call from cel that doesn't disclose your cel number.
7. Outlook Subfolders & Rules
Move e-mails to manage when you need to address them. Priority items - like from the boss. Unimportant - like from vendors.
8. Employee Scheduling
We use Paylocity for payroll. We have access to a scheduling feature. Our tech resistant Managers don't want to learn it, and they're allowed not to. Using it would save them time and aggravation.
9. Debit Card Receipt Uploads
We use debit cards for groceries and supplies. Card holders are supposed to upload and tag receipts. If they did so, I'd be able to link transactions directly into Quickbooks.
10. AI
I am an active ChatGPT user... it has replaced Google for searches, and helps with a number of tasks. I'm the only one that I'm aware of here who does.
One of my "when I have time" projects is setting up a chatbot to contain our State regulations, agency policies and procedures, employee handbook, etc. for employees to easily get answers for questions.
There's surely more, but this is a good start.
